How to Run a Technology Audit at Your Advisory Firm

Quick Answer – An RIA technology audit is a simple review of every tool your firm pays for, how well it is used, and how well your tools connect. You can run one in an afternoon. List your tools, check who uses them, map how data moves, and mark the gaps. The result shows you where time and money leak.

Most firms have never once reviewed their full technology setup. This is not because they do not care. It is because they do not know where to start (WealthManagement.com).

Here is the good news. You can run a real RIA technology audit in a single afternoon. You do not need a consultant. You need a blank page and a few clear questions.

Step 1 – List every tool you pay for

Start with a simple list. Write down every software tool your firm pays for. Include the small ones people forget.

Next to each one, note the yearly cost and who owns it. Most firms are surprised by how long this list gets.

Step 2 – Check what is actually used

Now mark how often each tool gets used. Daily, weekly, or almost never.

This step matters. One study of 542 advisors found firms use only 62 percent of the technology they pay for (Orion, via Financial Planning). So you are likely paying for features nobody touches.

Step 3 – Map how data moves

Next, draw how data travels between your tools. When a client detail changes in the CRM, where does it go after that?

If the answer is “someone types it in again,” you have found a gap. Circle every one of these. This is where hours disappear.

Step 4 – Mark the double entry

Now look for any place your team enters the same information twice. Client names, addresses, account details.

Each double entry is a small daily tax on your best people. Together, they add up fast.

Step 5 – Score each tool

Finally, give each tool a simple score. Keep, review, or drop.

Keep the tools that earn their place. Review the ones you are unsure about. Drop the ones nobody uses. A shorter, better-connected list beats a long one.

What to do with what you find

By the end of the afternoon, you will see three things clearly. What you overpay for. Where data gets stuck. And which gaps cost you the most time.

You do not have to fix it all at once. Start with the biggest gap. Then move to the next.
