Redtail vs Wealthbox Setup Guide: What RIAs Get Wrong in Year One

CRM adoption at advisory firms has reached 91 percent (T3/Inside Information 2026 Software Survey). That means almost every firm has a CRM. What that number does not capture is how many of those firms have a CRM their advisors actually use versus a CRM their advisors work around. 

Redtail and Wealthbox are well-built tools, each with a strong track record in the wealth advisory market. The reason they underperform at most firms is not the software. It is the setup. When the system is configured to the vendor’s defaults rather than the firm’s actual workflow, advisors treat it as an optional extra and find their own methods. The CRM becomes the expensive contact database nobody opens for real work. 

Why Year One Gets This Wrong 

The typical year-one CRM implementation at an independent RIA follows a familiar pattern. The firm selects the tool, contacts the vendor for a setup call, imports contacts from the previous system or an Excel file, runs a training session with the operations lead, and goes live. The advisors see a system configured for a generic advisory workflow, not the way their firm actually operates. 

The fields do not match the data the firm cares about. The activity types in the system do not match the activities the advisors do. The stages in the pipeline do not reflect the firm’s real relationship progression. And so advisors keep their notes in email, keep their client details in a personal spreadsheet, and log the CRM activity when they have to.

The Five Mistakes That Kill CRM Adoption 

  • Using default fields and activity types without customizing them for the firm’s actual workflow. Every CRM ships with generic defaults. An advisory firm’s workflow is not generic. Annual review dates, fee structure, custodian relationships, service tier, and risk profile need their own fields if the CRM is going to serve as the operational center of the firm. 
  • Importing contact data without cleaning it first. Duplicate records, missing relationships, outdated addresses, and incomplete household links imported from the previous system become permanent clutter in the new one. Cleaning the data before the import takes longer. Cleaning it after – when advisors are already using the system – takes much longer. 
  • Skipping the integration to the financial planning tool before going live. When the CRM does not connect to the planning system, any update in one requires a manual update in the other. Advisors see extra work instead of reduced work. The CRM becomes an additional burden rather than a solution. 
  • Not building automated task triggers before advisors start using the system. A CRM that fires an annual review task sixty days before the review date, automatically, for every client, changes advisor behavior within weeks. A CRM that requires someone to manually create that task every time gets forgotten. 
  • Training only the operations lead and expecting adoption from everyone else. The advisors who will use the system need to see how it makes their specific job easier before they adopt it. A training session focused on features does not answer that question. A session focused on their actual daily workflow does. 

What a Properly Configured Redtail or Wealthbox Actually Does 

The right configuration matches the firm’s vocabulary. The stages in the pipeline match the firm’s actual relationship progression. The activity types reflect what advisors genuinely do. The household structure reflects the real family relationships of the clients, linked before the first record is opened. 

An annual review reminder fires automatically. A new client triggers a task sequence without anyone initiating it. A compliance interaction logs itself as part of the normal workflow rather than as a separate entry. Advisors open the system and see the three things that need their attention today – not an inbox organized by someone else’s defaults. 

For firms where the CRM has already been live for a year or more and is underperforming, a technology audit is the most efficient way to diagnose where the setup is working against the workflow. 

The gap between a CRM that advisors resent and one they rely on is almost always the setup, not the software. Getting this right in year one costs the same as getting it wrong. Getting it wrong means getting it right in year two – which happens in a firm that has already built habits around the broken version.
